Orders & fulfillment

Process orders, move them through their statuses, refund, handle returns, and notify customers.

Every completed checkout creates an order in Brainerce. This section covers what happens after the customer pays: confirming payment, moving the order through its statuses, and handling refunds and returns.

What's in this section

  • Process an order to confirm payment, move the order forward, refund, and cancel.
  • Order status and shipping covers the status lifecycle, editing the shipping address, and customizing your statuses.
  • Refund an order covers full and partial refunds, restock, timing, and what happens when a gift card paid part of the order.
  • Handle returns and exchanges to take items back into stock.
  • Standing orders covers subscriptions and recurring donations, charged automatically against a saved card.
  • Donations covers one-off gifts taken on your storefront. A donation is not an order and never appears in this list.

Quick reference: order statuses

StatusMeaningIn the dropdown?
PendingOrder created; not worked yet.Yes
ProcessingBeing prepared.Yes
ShippedOn its way to the customer.Yes
DeliveredArrived.Hidden by default
CompletedFully handled and closed.Yes
CancelledOrder voided.Yes
RefundedFully refunded.Yes

Paid and Delivered are both built-in statuses that are hidden by default, so you won't see them in the dropdown until you enable them, so if you're hunting for "Delivered" and can't find it, that's why. There are twelve built-in statuses in all; the rest are listed in Order status and shipping. Payment state is also shown separately in its own column. You can rename and recolor your statuses.

Get notified of new orders

Manage which emails you and your customers receive under Settings → Email. Turn on the notifications you want, such as New order. See Customize email templates.

Tax invoices

Brainerce does not issue tax invoices for orders. If you need one produced automatically (a חשבונית מס, for instance) connect Morning (Green Invoice), Takbull or MAX, which issue one under your account with them. See Connect payment methods.
